Three calls that make or break recovery.

Use it as a checklist. Skipping where you save files is how partial wins turn into total loss.

  1. Stop writing to the source

    New data overwrites freed clusters. Eject SD cards when safe; do not install recovery tools onto the partition you are scanning.

  2. Choose scan depth

    Start normal. If files never appear, escalate to Deep Scan, then filter by type or path so you are not buried in noise.

  3. Recover elsewhere

    Always restore to another physical disk or partition. In-place recovery can destroy the clusters you need.

  • Source = disk you scan
  • Destination = where files land
  • Never the same partition if avoidable

Before, during, after

The three calls above are the spine. These notes cover the edge cases that trip people up on Windows.

Before Recuva opens

  • Close games, sync clients, and backup tools that might write to the target disk.
  • If Windows offers to “fix” or format the volume, pause—read Stories for the pattern.
  • Free enough space on the restore destination for worst-case bulk recovery.

During the scan

  • Do not hibernate mid–Deep Scan if you can avoid it; resume support varies by machine.
  • If the UI looks frozen, check disk activity—large passes can sit on one percentage for a long time.
  • Scan the whole volume when unsure; narrow paths only after you understand what is missing.

After recovery

  • Spot-check files with the apps that own them (Excel, Photoshop, etc.).
  • Turn on File History or your backup policy so you are not back here in six months.
  • If the source drive clicked or SMART looks bad, plan replacement before trusting it again.

Common mistake

Installing Recuva onto the same partition you are scanning—or recovering “in place”—can overwrite the very clusters you are trying to read. Use another disk for the program and for restored files whenever possible.

Priorities

Recover in what order?

When the list is huge and time is short, triage by business impact—not alphabetically.

  1. 1Contracts, finance, legal — small files, high consequence; grab PDFs and spreadsheets first.
  2. 2Source projects — code, CAD, raw edits; often fewer files but irreplaceable hours.
  3. 3Mail and calendars — PST/OST or profile folders; confirm account sync before spending days on carving.
  4. 4Media libraries — large but replaceable if you have cloud originals; still verify one sample before bulk skimming.

Handoff template for IT or a lab

Paste into a ticket so the next person does not redo blind scans.

  • Volume: [letter / physical disk ID]
  • Incident: [delete / format / corruption ~date]
  • Writes since: [none / light / heavy — apps installed?]
  • Tried: [normal scan / deep / destination used]
  • Symptoms: [clicks / SMART / disconnects]

Many letters, one machine

Multi-volume and external shuffle

Drive letters are not stable memories—USB order and network mappings can change after reboot. Name the physical disk in your notes, not only “the E: drive.”

  • Scan order when unsure

    If you unplugged a stick and letters moved, open Disk Management, confirm size and label, then pick that volume in Recuva. Scanning “the wrong letter” wastes time and nerves.

  • Games vs data partitions

    Launchers patch constantly. If the loss is on a secondary SSD used for Steam or Epic, treat it like any hot volume—pause updates before a long Deep Scan.

  • Pending Windows restart

    Update restarts can interrupt hours-long scans. Finish a normal pass or checkpoint mentally before you let the OS reboot—note percentage and drive so you know whether to restart Deep Scan.

  • Laptop on battery

    Aggressive sleep on lid close kills progress. Plug in, set a “stay awake” power plan for the session, and keep thermal headroom—throttling can look like a hang.
